V2.3.0: Access Groups and More

With ZippManager v2.3.0, we’re taking a major step forward in both functionality and user experience.

This update introduces several new features, most notably the new access groups, which provide a much more flexible and secure way to manage user permissions. In addition, managing systems, users, and configurations has become significantly easier.

We’ve also made some visual refinements to reflect our evolving brand identity. But at the heart of this release is one core goal: To make ZippManager even more powerful – and better suited to everyday operational needs.



 New Features​ Admin

Smarter Access Management with Access Groups​

The new access groups, the key feature of ZippManager v2.3.0, introduce a flexible framework for managing access rights and system visibility. They allow you to organize user permissions, system assignments, and admin rights based on the structure of your organization.

To activate access groups, please contact our Customer Su​​ccess Team. Once activated, they serve as your new framework for secure, structured access management.

  Important: Activating access groups is permanent and cannot be undone. Please make sure this new permissions model fits your organization’s structure. Our Customer Success Team is happy to assist you.

  Note: Access groups are not available when locker room coupling is active (i.e. when systems are automatically linked by changing room configuration). If you’re unsure whether this applies to you, feel free to reach out to our team.

After activation by a Zippsafe admin, local admins can:

  • Create and manage access groups
  • Assign systems and responsible officers to specific groups
  • Define admin tags to manage permissions more granularly

This ensures that only authorized individuals can access the relevant systems, based on your internal structure.

  Note:  Cleaning cards remain valid across all groups and cannot be restricted to a single access group.

Key Rules at a Glance

  • Admin tags first:
    Each access group must be assigned 1–5 admin tags before systems and officers can be added. Admin tags that are not assigned to any group will become inactive.

  • One system - one group:
    Each system can only belong to one access group at a time. This ensures clear responsibilities and avoids overlap.

  • Officers and tags remain flexible:
    Officers and admin tags can be assigned to multiple groups – no restrictions.

  • Visibility is group-based:
    Officers can only see the systems assigned to their group. Officers not assigned to a group have no access. Admins always retain full access.

  • Tags are group-specific:
    After activation, admin tags are valid only within their assigned group.

Access Groups offer a more granular level of access control, especially useful in larger or decentralized organizations. They help make your configuration more structured, secure, and easier to manage.

Notify users directly​

When updating a user’s system assignment (via the “Edit user” popup), you can now choose to send an automatic email notification to the user. This ensures that changes are communicated clearly, without any extra effort.

All settings in one place

The former “Data Sync” and “Cleaning” pages have been combined into a single, streamlined configuration page, with new features for administrators. Highlights include:


  • Inactivity detection
    Set individual inactivity periods to automatically mark unused lockers as inactive, helping you use resources more efficiently.

  • More control in system integration
    If ZippSafe Integration (ZIS) is active, admins can now define how to handle deleted users using simple radio buttons:

Additional improvements for more stability and usability

This release also includes many smaller enhancements that make ZippManager more stable, consistent, and user-friendly:


  • Standardized name display in tables:  Names are now consistently shown as First name Last name throughout the system, in line with common naming conventions.

  • Safer handling of admin tags: The last remaining admin tags for a system or Access Group can only be deleted if a replacement has been assigned, helping prevent misconfiguration.

  • Improved data exports: Exports from the “Units” page now include all active filters for more precise and consistent results.

  • Better management of custom fields: On the “Custom Fields” page, you can now filter, search, add, or remove entries, making data management much more convenient.

  • New filters in the systems view: Systems can now also be filtered by room or building for easier navigation and a clearer overview.

  • Support access relocated: You’ll now find our support contact info via the user icon in the top-right dropdown menu – no longer in the side menu.
